Summary:

The Front Desk Office Assistant will perform various routine clerical, receptionist, and secretarial duties to support the organization including the actions of greeting, assisting, and providing direction and information to clients, visitors, and other guests of the organization. In addition to typing, filing, and scheduling, this position will perform duties such as record keeping, coordinating meetings, obtaining supplies, coordinating direct mailings, and working on special projects This position will coordinate office activities and operations with the Executive Assistant while providing multiple clerical and administrative support to corporate management and company presidents.

Compensation/Wages: 

  • $18.00 to $20.00 per hour, DOE (depending on experience).
  • Full-time benefit eligible (comprehensive benefits & programs, including PTO).
  • Eligible for Quarterly Performance Bonus Plan.

Duties/Responsibilities:

  • Serves as the first point of contact for the Corporate Office; greeting clients, visitors, and guests; determining the purpose of each person’s visit, and directing or escorting them to the appropriate location.
  • Answers, screens, and directs phone calls to management; takes and relays messages.
  • Maintains a record of all incoming and outgoing mail, including incoming payments.
  • Performs administrative and clerical support duties for the Corporation and executives.
  • Prepares letters, memos, forms, and reports according to written or verbal instructions.
  • Copies, sorts, and files records related to office activities, business transactions, and other Company matters.
  • Review and book travel for executives and senior managers as applicable.
  • Prepares agendas and maintains the Executive Conference Room.
  • Respond to inquiries concerning general Company matters; assist with Corporate Sponsorships.
  • Maintain office supplies and breakroom inventory.
  • Maintain physical files according to the systems established.
  • Assist in ordering and maintaining basic marketing materials.
  • Maintain IT work orders for office executives and staff.
  • Assist with managing Special Projects and other office matters.
  • Assist with onboarding equipment orders for Company staff members.
  • Performs other duties and tasks as assigned by executives and management.

  • Respectful and discreet with sensitive information as well as maintaining confidentiality.
  • Must be able to receive direction from multiple individuals and present themselves in a confident and professional manner.

Supervisory Responsibility

This position has no supervisory responsibilities.

Education and Experience:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in office administration or related field preferred.
  • At least two years of administrative and clerical experience required.

Physical Requirements: 

  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand, as necessary.
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times. 

Work Schedule & Environment

This is a full-time position working Monday - Friday, 8 am - 5 pm.

Location - Cedar City, Utah

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Travel

No travel is expected for this position.

Work Authorization/Security Clearance

Must be authorized to work legally within the United States. Proof of documentation required.
