Job Description

We are seeking an experienced Family Office Associate to strengthen our client and advisor relationships, as well as supervise the Family Office Group Service and Administration Team.

Family Office Associates should have familiarity with various types of investment securities, broker-dealers, and financial regulations. They should have an upbeat personality and be able to engage with clients about such topics in conversation. Enthusiasm for serving clients should be reflected in all their work. The overriding purpose of the position is to make clients feel confident, valued, and supported.

The Family Office Associate will also supervise and support the day-to-day activities of the Service and Administration Team. They will manage the Client Service Request logs for the business unit.

Duties:

• Oversee client onboarding.
• Open new accounts, manage online services and money movement.
• Be a first point of contact between clients and the firm.
• Respond to client inquiries, answer questions, and resolve issues.
• Obtain and process all client information and transactions.
• Maintain client records.
• Compile and update documents and contracts.
• Navigate Schwab website.
• Outreach to potential new clients.
• Prioritize between urgent, important, and secondary tasks.
• Expedite serious issues to management for prompt resolutions.
• Draft written communication on behalf of advisors.
• Build positive client relationships through following up, checking in, and soliciting feedback to instill confidence that we are the best possible team to safeguard their wealth.
• Communicate continuously, proactively, and promptly with clients, team members, and stakeholders with respect to the control environment.
• Schedule advisor/client meetings.
• Perform administrative and clerical duties as needed.

Required Experience and Qualifications:

• Bachelor’s degree.
• 5+ years of experience as a Client Services Associate or Family Office Associate in the financial industry.
• Understanding of basic investment concepts.
• Exceptional communication and customer service skills, including listening skills.
• Excellent written and spoken English communication skills.
• Experience with Schwab is preferred.
• Advanced proficiency in Microsoft Office (Word, Excel, and Outlook), as well as DocuSign and Adobe.
• Ability to work independently with minimum supervision.
• Ability to admit mistakes, take responsibility, ask questions, and seek guidance.
• Naturally friendly, upbeat personality.
• Attentive, solicitous person who can ascertain the needs of clients.
