Job Description

Position Overview

We are seeking a proactive and versatile Administrative Assistant to join our team. This role is essential in ensuring smooth daily operations across our administrative, accounting, shipping, and digital marketing functions. The ideal candidate will be highly organized, detail-oriented, and comfortable wearing multiple hats in a dynamic environment.

This is a full-time position offering a competitive salary in the range of $30,000 – $40,000 annually, with potential bonus opportunities based on performance. This is a hybrid role of working remote and in a co-working environment. Hours are based on 8-5 with some flexibility for different times.

Key Responsibilities

Administrative Support

  • Provide direct administrative support to company executives and management.
  • Handle email correspondence and prepare documents or presentations as needed.
  • Maintain organized digital and paper filing systems.
  • Assist with office supply procurement and vendor management.
  • Placing PO’s to vendors for Client orders

Accounting Support

  • QuickBooks Online is the accounting software
  • Perform basic bookkeeping tasks such as data entry of invoices, receipts, expense reports and reconciliation.
  • Assist with accounts payable and accounts receivable processing.
  • Prepare simple financial reports and summaries for management review.
  • Support month-end and year-end accounting procedures.
  • Communicate with vendors or clients regarding billing inquiries.

Shipping & Logistics Support

  • Prepare and support shipping of client materials for marketing
  • Track incoming and outgoing shipments
  • Client support for the orders and relationship management
  • Maintain inventory of shipping supplies and materials.
  • Liaise with customers or clients regarding shipping details and status updates.

LinkedIn, Social Media & Digital Support

  • Assist in maintaining the company’s LinkedIn profile and presence.
  • Assist in direct messaging for clients to setup meetings and make new introductions
  • Support the creation and posting of LinkedIn content (articles, posts, updates)
  • Research industry trends and potential connections or leads via LinkedIn.
  • Help monitor engagement and analytics to improve visibility and reach.

Qualifications

  • Prior experience in administrative, executive support, or office management roles preferred.
  • Basic understanding of accounting principles or bookkeeping processes.
  • Comfortable using shipping software or platforms (e.g. FedEx Ship Manager, UPS WorldShip).
  • Familiarity with LinkedIn, social media, or basic digital marketing tasks is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) Google Workspace, and general computer skills.
  • Strong attention to detail and organizational abilities.
  • Self-starter and able to manage tasks in a macro environment
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
